Order, change, manage, report: how we approach tire management

Fleet tire management comes down to four core jobs, and in most fleets they run in four different places. Here is why we treat them as a single cycle, and the principles behind that approach.

Everything a fleet does with tires comes down to four jobs: ordering them, fitting and changing them, managing them in between and reporting on the results. Each job feeds the next. What to order depends on past changes, when to change depends on management data, and the accuracy of reporting depends on the records from the other three.

Yet in most fleets, the four jobs run in four different places. Orders go to one supplier, changes happen at another shop, removed tires wait in a warehouse or a parking garage, and reports are pieced together from invoices at year end. When we founded Checklas in 2016, our starting point was to treat these four jobs as a single cycle.

What gets lost when the cycle is split

The cost of running the four jobs separately is paid less in the jobs themselves than in the gaps between them. Data splits four ways, and nobody sees the whole picture. Why a tire wore out early cannot be answered without pulling together purchase, fitting and storage records.

We use a worked example to make that loss concrete. For a 100-vehicle fleet tracking 800 tires a year, the annual impact of consistent, integrated tracking comes to about TRY 460–580 thousand. The components are 294 staff hours of manual tracking and paperwork, 100–140 tires a year that are lost or replaced too early, and roughly 30 percent higher resale value for used tires. Assumptions: about TRY 3,000 per tire, TRY 250 per staff hour, 250 tires purchased and 100 used tires sold per year. For a 50-vehicle fleet, the figure is roughly half. It is an illustration; your fleet's numbers will differ.

Four jobs, one cycle

We bring the cycle together in ZyTire, with each job feeding the next:

  • Order: We work with all brands as a single point of contact. Pricing is based on fleet volume and averages a 10 percent purchasing advantage over one-off buying. Recommendations come from consumption history, aiming for the lowest cost per kilometer. More on our tire sales page.

  • Change: Bookings are made online and drivers are notified automatically. Each change follows a defined workflow: check-in, inspection, fitting, balancing, recording and handover. The work is done at a location in our service network or by mobile service at the vehicle.

  • Manage: Inventory is kept by plate and linked directly to tire storage. Removed tires are matched to their plate and sent to storage, and rack locations can be looked up instantly.

  • Report: Tire health, cost and capacity KPIs are tracked and reported in real time.

The entire cycle, from fitting to removal and from rack to invoice, lives in one data set.

The principles behind the cycle

We built this structure on a few principles, and we hold to them in our work with corporate clients.

Recording is part of the job

Data is not a form filled in after the work is done. At every change, which tire went on which vehicle, its DOT date and tread depth are recorded during the job itself. The cycle's reliability depends on that discipline.

One partner, one invoice

With all four jobs in one place, procurement deals with one point of contact and one invoice, and responsibility does not get lost between links.

The data is yours

You can use ZyTire directly, or connect your own ERP through our Web API without ever having to open ZyTire. We run the cycle; the data is yours and stays visible in your own systems.

What turns tires from a cost line into a manageable asset is running all four jobs as one cycle, on one set of data.

Today we manage tire and vehicle operations this way for more than 500 corporate clients. Learn more about our team and principles on our company page.
